Rental Policies
***When reserving on-line, your reservation is confirmed. Some minimum night stays are required, and we must review each reservation for valid parameters. We reserve the right to cancel any reservation within 24 hours of your confirmation if valid parameters are not met.
Family Rentals Only! All our vacation accommodations are family rentals ONLY. NO units will be rented to vacationing students or young adults (under 25) unaccompanied by a responsible parent or guardian. A PARENT OR GUARDIAN MUST BE STAYING IN THE UNIT AT ALL TIMES. OUR RENTAL UNITS ARE MONITORED FOR VIOLATION OF THIS POLICY. ALL VIOLATORS WILL BE EVICTED AND ALL RENTAL PAYMENTS AND/OR SECURITY DEPOSITS WILL BE FORFEITED. In accordance with Florida State Statute 509.141, RESERVATIONS MADE UNDER FALSE PRETENSE ARE NULL AND VOID AND CHECK-IN WILL NOT BE ALLOWED. This policy includes reservations made by parents or guardians who do not check in, and/or who leave overnight during the length of the stay. NO EXCEPTIONS! We require one parent or guardian for every four people under the age of 25. During the spring break period, special registration policies will be in effect: the ratio for each reservation must be one parent or guardian per every two persons under the age of 25. online booking if we see a problem with the parameters of the reservation.
Advanced Reservation Payment. An advanced reservation payment will be required to confirm your reservation. This may be paid by cash, traveler’s checks, bank cashier’s check, or credit card (Master Card, Visa, Discover, or American Express). If you are paying with a check, we will need to receive the check within five (5) days of initial reservation. The amount of deposit required is 25% of the total rental. Reservations made under false pretenses of any kind will result in the forfeiture of all rental payments and fees as well as cancellation of your reservation. If paying by check, payment must be received no later than five (5) days after booking your reservation or the reservation will be cancelled and subject to the cancellation terms. Please reference reservation dates and confirmation # when sending checks. There will be a $50.00 charge for all returned checks plus the cost of collection.
Final Payment. The remaining balance is due no later than forty-five (45) days prior to your check-in date. By authorizing payment via credit card, you are authorizing Kimberly Lang Vacation Rental Properties, LLC to charge your credit card the balance of the total charges 45 days prior to the commencement date of your rental period. Reservations placed within forty-five (45) days of check-in date will require payment in full at the time of booking the reservation and must be paid with credit/debit cards only. Agent(s) do not accept checks on reservations made less than forty-five (45) days before check-in date to allow for processing time.
FAILURE TO MAKE FINAL PAYMENT ON A TIMELY BASIS WILL RESULT IN THE AUTOMATIC CANCELLATION OF YOUR RESERVATION AND LOSS OF ANY ADVANCED RESERVATION PAYMENT PAID PURSUANT TO THIS AGREEMENT’S CANCELLATION AND NO REFUND POLICY.
Reservation Fee. A non-refundable service fee will be charged to all reservations to help cover the administrative cost of bookings, reservation services and other amenities we offer.
DAMAGE PROTECTION INSURANCE: $45.00 nonrefundable Rental Unit Damage Protection Fee covers unintentional damages to the rental unit interior/exterior that may occur during your stay, provided they are disclosed to management prior to check-out. The policy will pay a maximum benefit of $1,500. Any damages that exceed $1,500 will be charged to the credit card on file. Certain terms and conditions apply.
HURRICANE or Bad Weather POLICY – No refunds or rescheduled trips due to hurricane activity. If you are concerned about possible interruption, cancellation, or delayed travel due to tropical occurrences, you are strongly encouraged to purchase travel insurance at the time of booking. Hurricane season runs from June 1- November 1. The peak season for tropical activity is August through October, we strongly encourage all guests to purchase trip insurance, especially during these months. If water is turned off to a complex due to a hurricane unit must be vacated.
Vacation Cancellation Travel Insurance. It is strongly recommended that Guests purchase travel insurance. You are a valued Guest, and we want to do everything possible to make your trip enjoyable and worry free. Because the unforeseen and unexpected can occur before you leave or when you are away from home. We are partnered with Rental Guardian Travel Insurance.
CANCELLATION POLICY – Cancellations must be submitted in writing or by email and confirmed received by Kimberly Lang Vacation Rental Properties.
Cancellations made prior than 60 days of arrival. Monies paid will be refunded minus the reservation fee.
Cancellations made less than 60 days before arrival.No refunds will be offered.
Cancellations due to military orders. 30 Days prior to arrival. Proof or orders submitted. Monies paid will be refunded minus the reservation fee.
Bookings made on 3rd party sites. Cancellation Policy will be honored if different from ours.
We highly recommend purchasing travel insurance to avoid losing your vacation investment due to unforeseen cancellations. If you have purchased Travel Insurance contact them to begin your claim.
CHECK IN AND CHECK OUT: The rental period begins at 4:00 p.m. on the day of arrival and terminates at 10:00 a.m. central time on the day of departure. Due to our high standards of cleanliness, not all units will be ready for check-in promptly at 4:00 pm. Early check-ins will not be honored until day of arrival if the unit is ready. Verification at the office will be required. Please call 850-226-8339. Check out time is strictly enforced to have the unit cleaned to our standards for the next guest. Late check outs that are not approved will be charged an extra night fee to the card on file. The properties are professionally cleaned and inspected before and after each rental to ensure that all guests have a clean comfortable stay. Please be thoughtful of renters who may be checking in on the same day that you checkout. Occasionally delays may occur during peak season.
DAMAGE AND CLEANING ISSUES: Any damage or cleaning issues noticed upon arrival should be reported to the manager immediately. If damage or cleaning issues are not reported within 3 hours of your arrival, your credit card may be charged for the cost of the repair. All general maintenance issues should also be reported so the unit can be kept in good repair. You must contact the office to address any cleaning issues within 3 hours of your arrival. You will not incur any additional charges if the following items are adhered to:
No damage is done to the unit or its content including the linens.
No items are missing upon the inventory check. (This includes, but is not limited to, transferring items to other units.)
All debris, garbage and discards are placed in proper containers.
All soiled dishes are placed in the dishwasher.
There was no exceeding the maximum occupancy of the unit.
There was no smoking or evidence of smoking in unit.
Unit is left in neat condition.
Pet friendly units show no sign of pet damage, excessive hair, or excessive cleaning. Pets must be approved by the office prior to arrival.
If you experience any problems whatsoever with the vacation property during your stay, please contact us and we will do our best to rectify the matter as soon as it is practically possible. Should a problem remain unresolved, you are required to notify us in writing within 7 days of your return. No action can be taken, or liability accepted for any complaints received after this period. We aim to resolve complaints within a two-month period from receipt, the details of which will be kept confidential to only the parties involved. Please note that, as Florida is a tropical State, insects such as ants and the like are occasionally inevitable and are not cause for complaint. The vacation property is treated periodically as part of a pest and termite control program and is cleaned after each rental.
NO SMOKING: Smoking is not allowed in any of our units. Smoking is not allowed outside by any open window/door. Smoking is permitted on balconies if the doors and windows are closed. Some properties have exceptions to this rule. If so they are listed on the unit descriptions.
PET POLICIES (Allowed in Pet Friendly Units Only) (Weight restrictions and number of allowable pets apply to certain units) Guest pets must be treated for fleas and ticks prior to arrival. Guests must pick upany pet waste and tightly tie the remnants in a plastic bag if staying in a Pet Friendly Unit. Pets are not allowed on the furniture and all pet hair must be cleaned up prior to departure. A $175 fee will be charged if there is any report of pet hair on bedding and sofas. Guest pets must be always leashed when outside of the unit and under no circumstances are Guest pets allowed on the beach. The violation of any terms of this pet policy subjects the guest to additional fines or termination of the rental period. Guest pet policies and unit availability are subject to change per county and association rules and regulations at any time.
COMMUNITY RULES: Guest agrees to abide by rules of the community. These may be posted in the unit or at the community pool or office. These rules may change from time to time.
FALSIFIED RESERVATIONS: Any reservation obtained under false pretense will be subject to forfeiture of advance deposit and/or rental money and the party will not be permitted to check-in.
GUEST assures us that the tenants will observe all conditions and terms of this agreement as to maintaining the rental in good order and appearance and will conduct themselves in a manner inoffensive to neighbors.
GUEST assures that any tenant who violates any of the terms of this Agreement shall be immediately denied occupancy and shall remedy any damages or other expenses, which are caused by the tenant and/or the tenant’s guest(s).
GUEST agrees that any tenant who is found using drugs or allows others to use drugs on the premises will be immediately denied continued occupancy at these premises.
GUEST and/or their guests shall not disturb, annoy, endanger, or inconvenience neighbors, nor use the premises for any immoral or unlawful purposes, nor violate any law or ordnance, nor commit waste or nuisance on or about the premises.
GUEST agrees that during the term of this agreement and such further time as he/she occupies the premises, he/she will keep the rental clean and free of trash, garbage, and other waste; and all pipes, wires, glass, plumbing and other equipment and fixtures in the same condition as at the beginning of, or may put in during the term of the agreement, reasonable wear and tear and damage by unavoidable fire and casualty only exception.
GUEST agrees to indemnify and save our company harmless from all liability, loss or damage arising from any nuisance or harm made or suffered on the premises by the GUEST, tenants, or guests or from any carelessness, neglect, or improper conduct of any persons entering, occupying, or visiting the premises. We accept no responsibility or liability for any loss or damage or alteration to the terms of your reservation caused by events beyond our control, including but not restricted to war, terrorist activity, civil commotion, flight delays, or cancellations, airport closures, loss of luggage, adverse weather conditions, fire flood, or industrial dispute. We cannot accept any liability for the failure of public supplies such as water, electricity, Internet, or breakdown of the air conditioning system. Nor for the consequences of the action or omissions of persons who may control or supply main services, or any actions taken in the vicinity of the property reserved, by any authority over which there is no control.
We cannot accept any liability for your personal safety during your vacation. It is particularly important that children are always supervised in and outside the vacation property. We assume no responsibility for accidents. You are reminded to exercise care as to your personal safety, and the safety of your companions. Whenever possible, valuables should be left secure and out of sight.
CREDIT CARD AUTHORIZATION: I understand and consent to the use of the credit card provided without original signature on the charge slip, that an email of this agreement will serve as an original, and that this Credit Card Authorization cannot be revoked and will not terminate until 90 days after the rental is vacated. Additional charges may include unauthorized long-distance telephone and satellite TV charges; excessive cleaning fees; damage beyond normal wear and tear and unreturned keys. All charges not covered under the damage protection insurance or security deposit will be charged to credit card on file.
RATES: Rates, terms and applicable taxes are subject to change without notice. Please understand a rate is not confirmed until the advanced deposit is made. We reserve the right to correct rates that may have been misquoted due to human and/or computer error. We reserve the right to change unit assignments. (This will not happen unless the unit you reserved has an issue we cannot resolve prior to your arrival.) to a comparable or upgrade.
Once you book, all agreements of rental policy are enforced. You understand, by booking your selected property, that you have agreed to follow the outlined terms and conditions. All rates are subject to change before you have officially booked.
